I would like to institute an automatic hold program similar to the ones
discussed in fiction-l several weeks ago. I would very much appreciate your
help in instituting this service. I would really like to see the forms that
you require patrons to fill out in order to join the club/service. Written

There was an article on this in Unabashed Librarian a few years ago. That's
where I got the idea. I will send you a copy of our form. We use Baker and
Taylor's Automatically Yours system to have a standing order for enough
copies for each author to meet demand.
Other than that, our "system" is very manual. We keep a "standing order"
file by author's last name with 3 x 5 reserve cards for each patron behind
the author card. We also keep a 3 x 5 card in our regular "on order" file
for each author on standing order. When we receive information about the
next title we write the title on a post-it and place
it on the "standing order" card for that author. That way we can answer
patron requests about new titles coming out.
Patrons love it and it has meant that we can anticipate demand much better.

I asked the following questions a couple of months ago and got no
response. If you experienced Fiction-Lers out there could share, we would
really appreciate it.
Those of you doing this, could I ask a few questions?
Do you order one copy per reserve?
If not, how do you determine who is first on the list? I am trying
to envision this in our very large system where I think we could have
hundreds of requests. Even if we ordered plenty, I think we would not be
able to get one copy per request.
How do you maintain the list? Do you start to get people who have
moved, died, no longer interested, etc. clogging it up?
Does it often happen that people on the list don't actually come in
and pick up the book?

The Roselle Public Library's automatic reserve program, entitled the 100 Best Sellers, is a very popular service with our patrons. We offer 100 authors who are available on B&T Automatically Yours standing order plan. We limit the service to Roselle cardholders. Patrons hand in a completed selection form and the information is entered in a database. We generate a reserve list after new books are processed.
We do vary the order of the request list for each new title. We do not include new paperback titles for this program. Occasionally we will make changes to the list, removing the names of those authors who have passed on and adding authors who have gained in popularity.
I will be happy to send you and anyone else who's interested a copy of the 100 Best Sellers brochure.

Marcia Bose started this program almost three years ago. She had taken the program from a county library in Missouri. All in all the program has worked smoothly the entire time - thanks to Marcia's hard work!

I, too, am interested in how automatic holds programs impact libraries with
a large number of requests. While Amarillo Public Library is not nearly as
large as your library system in San Diego County, we do have multiple
locations, and it seems every branch does things differently. If someone
passes information along to you directly instead of posting to the list,
would you mind terribly forwarding that information to me? I would REALLY
appreciate it!

I think the hold policy at your library is harsh. If someone doesn't pick
it up they shouldn't be fined, simply give the book to the next person.
Also 36 hours is too short. People should be given at least 5 days (when
the library is Open), and preferably a week.

I apologize for taking so long to summarize the responses to my request
about automatic holds. The responses that I received were primarily from
other librarians who were also interested in the process, at about a ratio
of 3:1!
1. The libraries that offer this program/service have had good feedback
from their patrons.
2. Most libraries offer a set list of authors to choose from, though there
are some libraries that allow the patron to choose any author he/she wishes.
3. Although most libraries limit the list to fiction authors, non-fiction
writers have been allowed through some libraries.
4. Microsoft Access seems to be the preferred means of storing patron's
preferences and of randomly selecting who gets the book first. Note cards
were also mentioned.
5. Many libraries use Baker and Taylor's "Automatically Yours" program for
ordering the authors included in their service. One library mentioned
ordering 1 book for every 2 holds, and another library mentioned ordering 1
book for every 5 holds.
6. All of the libraries that responded offer the brochure and sign-up for
the program in paper form. Some libraries also offer it on the web.
7. I received brochures for the service from 4 libraries. Thank you to:
Valerie Maine, Vernon Area Public Library; Laurel Goodgion, Portland
Library; Jeanette Mercure, Lucy Robbins Wells Library; and the anonymous
person from Milford Township Library.
8. None of the libraries who responded seemed to have written procedures
for this service.
9. Problems that have been found with the service are few, but the
following suggestions were made in order to avoid possible problems:
a. spell out that the requests will be filled in the form of regular books,
not books on tape, large print, etc.
b. spell out that when a patron signs up for the program, it does not
include books that have recently been published (ie. the book came out last
week and she/he wants it now!)

I am in Green Bay at the Brown Co Library. We have a
central library plus 8 branches and we serve a
population of 120,000 and growing. Our reserves on
some popular authors looks like this:
Brethren - Grisham 150 reserves
We have 16copies plus another 39 copies in our rental
collections. And at this writing only 11c were in
various locations available on rental. They will
probably all go out before we close.
